Cancellation Policy
Plans change, and Travmak aims to make the cancellation process as clear as possible. This policy outlines the rules for cancelling any booking made through us including Umrah packages, international tours, visa services, air tickets, and B2B bookings.
By booking with Travmak, you agree that cancellations are ultimately subject to the terms of the airlines, hotels, embassies, and other third-party suppliers involved in your travel arrangement.
1. General Cancellation Rules
- Cancellation requests must be submitted through an official channel email, WhatsApp, or phone for proper tracking and processing.
- Cancellation charges apply according to the rules set by the airline, hotel, tour operator, or embassy handling the relevant part of your booking.
- Travmak’s service, processing, and consultancy fees are non-refundable once a booking has been initiated.
- Travmak reserves the right to decline a cancellation request where the third-party supplier’s terms do not permit it.
2. Air Ticket Cancellations
- Cancellation eligibility depends on the fare rules attached to your ticket at the time of purchase.
- Many discounted or promotional airfares are non-refundable and non-changeable.
- Where cancellation is permitted, the airline may deduct penalties, no-show charges, and service fees before releasing any balance.
- Refunds are only processed once the airline confirms and releases the funds to Travmak.
3. Umrah & International Tour Package Cancellations
- Group and individual package deposits are generally non-refundable, as they lock in fixed allocations with our hotel and transport partners.
- Airfare, accommodation, ground transport, and visa components of a package may become non-cancellable once confirmed.
- If any part of the package has already been used, cancellation rights on the remaining portion are automatically voided.
4. Visa Service Cancellations
- Once documentation has been submitted to the embassy or immigration authority, visa fees cannot be cancelled or refunded.
- Embassy charges, biometric fees, courier costs, and Travmak’s consultancy fee are non-refundable regardless of the visa outcome.
5. B2B Booking Cancellations
- Cancellations on bookings made through Travmak’s B2B or reseller channel follow both this policy and the specific terms of the partnership agreement.
- Partner agencies must communicate Travmak’s cancellation terms clearly to their own customers before confirming a sale.
- Time-sensitive cancellations should be routed directly through the assigned Travmak account manager to avoid processing delays.
6. Cancellations Initiated by Travmak
Travmak may cancel a confirmed booking if:
- Payment is not received within the agreed timeline
- Incorrect or incomplete information or documents are submitted
- External factors such as security concerns, safety advisories, or travel restrictions make the booking unviable
In these cases, any applicable refund depends on the relevant supplier’s own policy.
7. Force Majeure
Travmak does not guarantee cancellations or refunds arising from events beyond our control, including:
- Natural disasters and severe weather
- Strikes, protests, or civil unrest
- War or government-imposed travel restrictions
- Pandemics or public health emergencies
- Airline or airport technical disruptions
Our team will assist with rebooking or alternative arrangements wherever possible, though compensation cannot be guaranteed.
8. Processing Time
Where a cancellation results in an approved refund:
- Airline refunds typically take 15–45 working days.
- Hotel and tour refunds typically take 7–30 working days.
- Refunds involving international suppliers may take longer due to cross-border banking processes.
Travmak can only release funds to you once the corresponding supplier has released them to us.
